This is a confirmation that the processing of the SEVIS DS-2019 form for the Exchange Visitor referenced above has been completed. This visitor has been entered into the Department of Homeland Security's SEVIS system (Student and Exchange Visitor Information System) and been issued a DS-2019 form to be used for obtaining a J-1 Visa. The DS-2019 is ready to be picked up from Bechtel International Center by the Stanford department and sent to the scholar. Beginning January 20 and extending at least through February, administrative offices at Bechtel will be closed each Tuesday and Thursday afternoon from 1pm to 5pm for testing of an enhanced immigration workflow system. There will be no advisors available and no drop off or pick up of documents during those hours.
Below is an outline of what needs to be done in order to obtain a J-1 visa stamp and entry into the US. The "Additional Information" section is a detailed explanation of the visa process that is critical for J-1 Exchange Visitors at Stanford. Please read both sections carefully.

1. Your DS-2019 form should be picked up and signed out at the upstairs reception area at the Bechtel International Center by your Stanford department. Your department is responsible for sending it to you. Please arrange with your department how it is to be sent. DEPARTMENTS SHOULD PROOFREAD DS-2019'S CAREFULLY BEFORE SENDING THEM TO THE SCHOLAR.
2. Once you receive your DS-2019 form, make an appointment with your local US consulate or embassy. You may find a list of US consulates and embassies at http://travel.state.gov/travel/tips/embassies/embassies_1214.html. Canadian citizens do not require a visa stamp but must still pay the SEVIS fee (see #3 below) and enter the U.S. with the DS-2019.
3. All initial J-1 visa applications require pre-payment of a SEVIS fee in addition to the visa fee. This fee must be paid by either the department or the J1 visa applicant. Bechtel International Center does NOT pay this fee. The SEVIS fee is a U.S. Government fee and it is NOT the $125 DS-2019 processing fee paid by departments to the University. 4. After your appointment with the consulate, you will be issued a J-1 visa stamp in your passport. You may now enter the US as early as 30 days before the "From" date specified in Section 3 of the DS-2019 form. You must use the DS-2019 for all your entries into the U.S. in J1 status.
5. If you cannot enter the US within 25 days after the "From" date, please notify your department.
6. After you enter the US and arrive at Stanford you must confirm your arrival with the I-Center. This should be done not later than the 25th day after the "From" date on the DS-2019 form. Please read the "Limited Validity of the DS-2019" section below.

Limited Validity of DS-2019:
The DS-2019 is valid for J-1 entry to the United States only within 30 days of the begin date on the document. If the visitor cannot arrive within 25 days of the program begin date, please notify your department and foreign.scholars@stanford.edu to request an amended begin date.
Please note that all visitors entering on an initial SEVIS DS-2019 must confirm their arrival with the Foreign Scholar Services office by the 25th day after the begin date on the DS-2019. We must confirm their arrival in the SEVIS system not later than 30 days after the program start date so that they are not reported as delinquent in their J-1 program status. You should notify us of your arrival on campus by sending the required information by e-mail (see instructions below.)
